Adding Products
Your product catalog is the foundation of your POS system. Here is how to set it up effectively.
Product Fields
Each product in eKaha has the following fields:

| Category | Recommended | Group products for organization |
| Kind | Yes | Finished Good, Raw Material, or Modifier |

| Unit | Recommended | Unit of measurement (pieces, kg, liters, etc.) |
Product Kinds
eKaha supports three product kinds:
- Finished Good: Products you sell directly to customers (e.g., a cup of coffee, a bag of rice)
- Raw Material: Ingredients or supplies used to produce finished goods (e.g., coffee beans, milk)
- Modifier: Add-ons or customizations applied to other products (e.g., extra shot, whipped cream)
Categories
Categories help you organize products and make them easier to find at the POS:
- Go to Products > Categories
- Click Add Category
- Enter a name (e.g., "Hot Drinks," "Snacks," "Medicines")
- Products can be assigned to one category
Adding Products with Units
For inventory tracking, you should set up product units:
- Sale Unit: The unit you sell in (e.g., "piece," "cup," "plate")
- Purchase Unit: The unit you buy in (e.g., "box," "kilogram," "case")
- Conversion Factor: How many sale units per purchase unit (e.g., 1 box = 24 pieces)
This allows eKaha to automatically convert between purchase and sale quantities.
Bulk Operations
For large catalogs:
- Use the import feature to add multiple products at once
- Products can be exported to XLSX for external editing
- Categories can be assigned in bulk
Best Practices
- Be consistent with naming -- "Coca-Cola 350ml" not "coke" one day and "Coca Cola" the next
- Use categories -- they make the POS faster to navigate
- Set reorder thresholds -- get alerts before you run out
- Add cost prices -- enables profit margin tracking
- Keep product list current -- archive discontinued items instead of deleting them
